Our club would like to eventually have a paper newsletter mailed out to everyone. What are some examples of costs? We have around 50 members right now, but expect more. Any info would be great.

Thanks,
IronZ

With the expense related to paper, envelopes and postage, we have gone away from paper distribution of information as much as possible! With the exception of stuff handed out in meetings, we deal with stuff through email distribution. Cost is nothing and all but one or two of our members have email/internet accounts. I know that some people like the paper "newsletter" format, but the expense can be fairly high, depending on the frequency, size of the document and number of members.

Our club also has gone the mostly electronic route. We still send out a hardcopy to those who either don't have e-mail, or still want the printed version. But we're only talking about 30-40 paper copies for a club of about 300 people. Costs depend on the size of the newsletter. We average about 8-10 pages for the newsletter, and front/back copying comes to 20-30 dollars. I buy several flats of stamps every few months, so add that cost in too.

My club of about 35 mailings costs about $25.00 (average $17.50 for postage and $6.50 for paper) a month which we budget into our dues structure.

We do have about 1/2 of the members receiving the newsletter by e-mail which has reduced the costs in half as compared to past years expenses.

I also have some members with older computers and do not have e-mail, so I put it on floppys that they give me at the meetings.

I'm the editor of our newsletter, with our last issue approx 70 copies were sent out (can't remember exact amount). The cost of printing 6 pages printed front and back, and postage was $56.00

Our club, being 400 members, has on average about 400 copies printed each issue. We produce it bi-monthly and offer members a choice of whether or not to receive it via paper or electronic. Approximately 80 people elect to receive the electronic copy only, but all get sent an email when it is available. We also send out 50 comped copies to other clubs, local hobby shops, etc. On average, each issue costs about $.75 - $1.00 each to print and about $.60 to mail. This equates to a cost of about $8 - $10 per person, per year. That's 10% of their annual dues. Because our issue and meetings are bi-monthly, costs are somewhat lower than that of a monthly newsletter. For some clubs with low dues, it does take up a good majority of their funds.

Fo those interested, our latest newsletter is here: http://www.sccmas.org/pdf/sc_050103.pdf

Default success story

I do the newsletter for my club. Last year we were total hard-copy sent out to our members.

140 copies of 11 x 17 double side printing(4 page newsletter), stamps, envelopes. AVR cost for the year was $1200.

This year we are paperless with the exception of people who don't have access to the INTERNET which right now is only about 6 that I still print hard-copies too.

Our club anticipates approximately $10 per year, per member for all related newsletter costs. (Printing and mailing.) Anyone we can sign up for the electronic copy, we do!

I do a newsletter for 87 members, eight pages 8 1/2X11 (4 11X17) postage for 1 oz and copy cost runs right at .58 each in Seattle...... It take 125 copies in the same 3 digit zip code to get a permit for a non-profit bulk mail as 980**.
